Stay compliant and audit-ready

Every person is assigned, trained, certified and renewed on schedule across every site and role, and the record is ready the moment a regulator, head office or auditor asks.

Talk to us

Required training is never finished

Regulations are revised, certifications expire on their own dates, and proof can be requested on any day, for every site and every role. When the record is kept in spreadsheets and inboxes, each request turns into a project of its own.

  1. Healthcare

Long-term care homes must train staff, contractors and volunteers to fit their facility assessment, and give every nurse aide at least 12 hours of in-service training a year.

Courses built from your policies, with every in-service hour and certification tracked to its renewal date and ready when surveyors ask.

  2. Construction and engineering

Fall protection training, one of the standards OSHA cites most often, requires a signed record of who trained each worker and when.

Safety courses for every crew, with each worker's trainer, date and certificate on record and people re-enrolled before a certification lapses.

  3. Energy

A national energy regulator expects pipeline companies to prove every employee, contractor and subcontractor is trained for the job, and says contractor oversight failures have contributed to fatalities.

Training for employees and contractors alike, with each person's qualifications tracked by job and expiry date and reported from one system.

  4. Manufacturing

OSHA expects every worker to be trained in a language and vocabulary they understand. Food plants must also keep records proving the training happened.

Plain-language courses built from your procedures, with every completion on record for audits and two-minute refreshers on critical tasks between courses.

With our previous LMS, revising or removing courses was a nightmare. It took a lot of time and was confusing for the customer because I had to pull away their learning plans, take it out, and put them back in.

It was also tedious for the customer. I was at the mercy of the LMS company because they had to do it, and I couldn't guarantee when it would be ready again.

How we build, assign and track your required training

We can build the courses, handle the tracking, or both. The training is delivered in the LMS you already have, and you can move assignments, renewals and the audit record to SmarterU if you want to.

Examples below use stock footage and sample data.

  1. Build courses from your procedures

Our team turns your procedures and your experts' knowledge into compliance and safety training that holds up when someone checks it. Scenarios let people practice the judgment calls before they face them on the job.

We build in any authoring tool and deliver to the LMS you use.

  2. Assign by role and site

Training is assigned by rule, so a new hire or a role change brings the right courses with it. Learning plans hold online, classroom and outside courses together, with actions such as a document for a supervisor to validate.

  3. Renew before anything lapses

Reminders go out before and after a due date and escalate to supervisors and managers. People are re-enrolled before a certification expires. Each certificate carries the license number and a QR code anyone can scan.

  4. Keep procedures in memory

Two-minute daily sessions keep procedures in memory between courses. Every answer carries a confidence rating, so confident wrong answers show up too. You can see who has mastered each procedure and who is guessing.

  5. Hand over the record

Reports on enrollments, learning plans, attendance and quiz results, with the audit log, can be filtered, exported to CSV or emailed to any address on a schedule.

Sunwing's 50-page, 200-question compliance workbook used to be printed on paper. Our Custom Learning team rebuilt it as a digital workbook, which Sunwing has used since 2020.

FAQ

What does it cost?

Custom compliance courses are quoted per engagement.

If you need a platform, SmarterU plans start at $3,000 USD per year, quoted for your organization, with learners counted as the users who log in each month. BrivaLMS is free up to 50 seats, and its paid plans start at $49 USD a month. OttoLearn plans start at $250 USD per month, billed annually.

How long until we can start?

A custom course usually takes six to twenty weeks from kickoff to launch, and multi-course programs take longer. We build the schedule backward from the date you need it.

BrivaLMS typically takes less than a day, with no implementation phase.

Do we have to replace the LMS we already use?

No. We build in any authoring tool and deliver custom courses into your LMS as SCORM, xAPI or cmi5, and you keep the source files. OttoLearn works on its own, separate from your LMS.

If you move to SmarterU, it syncs with HRIS, CRM, ERP and payroll systems on any schedule, supports single sign-on through Okta, Microsoft Entra and other identity providers, and can migrate your data from a previous LMS.

What can we hand an auditor?

In SmarterU: reports on enrollments, learning plans, attendance and quiz results, plus the audit log, filtered and exported to CSV or emailed to any address on a schedule. Certificates carry license numbers and a QR code that anyone can scan to validate them.

In BrivaLMS: completion, enrollment, time-spent and overdue-training reports, exported to CSV, and certificates with a unique verification code on the paid tiers.

What happens when a certification is about to expire?

SmarterU re-enrolls each person automatically as their certificate nears its expiry date, and a learning plan can renew itself when it expires. Each certificate carries a license number and a QR code that anyone can scan to validate it.

How do we know people learned it, beyond a completion?

SmarterU delivers quizzes and exams with randomized questions, time limits and proctoring. OttoLearn shows each person's mastery level for every topic, from Unknown to Expert, and reports knowledge gaps, so you can see who has mastered the material and who is guessing.

Is accessibility included?

Yes. Every custom course ships to WCAG AA, with contrast, captions, transcripts, keyboard navigation and screen reader support, and the review log comes with the delivery.

How can we help with your compliance training?
